I just wanted to let you know so you’re not surprised :) (I know it can be annoying to do video sharing at the same time so I’d totally get if you didn’t want to bother setting it up for a single person.)

    Rémi no worries at all about joining remotely! I think we've had a video stream for pretty much every recent edition. Direct interaction isn't always the easiest, but what usually happens is that people read out questions or comments from remote folks in the chat, so you'll still be able to take part in the discussions. Feel free to keep your name on the remote joiners list while you sort out your plans. Whether you're there in person or tuning in from afar, we'd be really happy to have you involved!

    Hey everyone, I wanted to raise a quick concern about the event sign-ups. We have already reached the 25-person capacity, which is great, but it also means we are showing "full" very soon after announcing the event, and many weeks before the event takes place. We do have a waiting list, but I am not sure if the 25-seat limit is a hard cap or if there is any flexibility. I am mostly worried about how this looks from the outside, since it may feel a bit uninviting this early on. Could we clarify whether there is any room to adjust the capacity? Thought it was worth bringing up so we can keep the event as open as possible.

    Just to be clear, I am not blaming anyone for choosing a too-small room. That choice made perfect sense based on attendance in previous years. If anything, the fact that we filled up this early is a great sign of how successful this year's event is shaping up to be.

    I wouldn't accept any blame even if you were trying to blame anyone... I just checked the potential other choice we had which had a capacity of 26. If we were to move to that (assuming that is still an option) it wouldn't really move the needle

    Both our current location and the Alt location have other, smaller rooms. So the very least we could do is no book a second one for when we want to discuss two things at the same time. (which obviously isn't a solution for the vast majority of time where we want to discuss the same things)

    Money honestly just really puts a constraint on things. The Thon would obviously be able to host a much larger group

    I'm wondering how many people will realistically sign up if we open the list. Maybe we naturally just hit the ceiling and the fact that it was capped just meant that everyone for once did it early

    From a quick comparison, I think I spot 3 or 4 people that attended last year, that do not appear on this years attendee-list (yet).

    So I don't think we're _at_ the ceiling yet (although I also don't know if those people want to join this year - although I suspect at least one or two do, as they're regulars)

    Yes. So concrete steps: reach out to the current location to check if they have capacity for 30. There is a little bit of conflicting information wrt their capacity. Website says up to 30. The picture on their website shows 22. Personally I never communicated with them directly that happened through emus

    If that fails new board just needs to consider spending a lot of money. I mean the good news is that this is a problem that can be solved with money

    Ok, thanks. You're right, the sensible first step is to verify what the maximum capacity is, and/or if they can think of pragmatic solutions. I'll try to check with emus if he has already asked them that (I'd like to prevent having multiple people calling them with the same question).

    Hello there, Before we continue discussing: - Great that the list is full - just because it shows interest 👍 (and it allows us to act now) - *If you are undecided or want to come, please still add yourself as waiting (W.)* On the booking: I have already reached out and will arrange based on the situation. If anyone wants to take over this, Im fine, but lets have that clear before doing anything. So please, don't just call or write. CC: guus if Board wants to take over Im fine with this. I'm sure we can sort this out. They seem to have 5 rooms, so this is just one picture and also just one arrangement of the room. And yes, there is no point to blame or create an atmosphere. The conclusion to book an affordable cost-saving space is the right thing after the two last years. We are always happy for (room) sponsors of course. Finally, I suggest to call for confirmation and likely have people that list themselves, but cannot make it.

    Thanks, emus. Since you have already reached out, I see no reason for anyone else to take this over unless you would prefer that. I am happy for you to continue arranging things. Ideally we find a solution where everyone can be in the same room, since most of the event is meant to be central. But lets first see what the venue says about the actual capacity or possible room setups.

    Fwiw when I suggested for Guus to call them I was thinking more in terms of 'they both speak Dutch' rather than Board taking over (and technically I don't think it would be board taking over. Board was extremely involved in this from the start)
